What drives the cost
- Number of extensions (users). The more employees you connect, the larger the license or subscription.
- Simultaneous calls (channels). How many conversations happen at once — this drives sizing and, in some models, the price.
- Enabled features. A simple IVR costs differently than a full call center with queues, wallboard, QA and recording.
- Hosting. On-premise (on your server) or cloud — two different cost models (see below).
- SIP trunks. Minutes and numbers from the carrier are a cost separate from the platform.
The two pricing models
Cloud (SaaS): usually a recurring monthly subscription, per user. Easy to start, but the cost grows linearly with your team and never stops — you pay for as long as you use it.
On-premise / appliance: usually you own the platform, with licensing bound to the appliance rather than an ever-growing per-user monthly fee. The upfront cost is more visible, but over time it becomes predictable.
Hidden costs to watch for
The listed price is rarely the final price. Check for:
- Add-ons for “premium” features (recording, call center, reporting) billed separately.
- Adjacent components — a session border controller or perimeter security, added as separate products.
- Vendor lock-in — what it costs to leave: if your data and config are in the vendor’s format, migration becomes a cost in itself.
